Stichting Global Gaming Community is the data controller responsible for the processing of your personal data in connection with GlobalCargo VTC.

This Privacy Policy applies to:

  • Registered members worldwide

Although we are based in the Netherlands, this policy applies globally wherever our members are located.

3. Personal Data We Collect

3.1 Personal data collected from registered members

When you create an account and use member features of our Service, we collect the personal data required to create and manage your membership.

We collect the following information:

  • Username
  • Date of Birth
  • Country of residence (Optional)
  • E-mail address
  • Discord name
  • TruckersMP profile link
  • Steam Profile Link
  • Twitch username (optional, only if provided)
  • Twitter/X username (optional, only if provided)

Optional fields are only collected if you choose to provide them.

3.2 Data collected automatically from visitors and users

When you visit or use our Service, we automatically collect technical and usage data. This applies to both website visitors and registered members.

This data includes:

  • IP address
  • Browser type and version
  • Device information
  • Pages visited and actions taken on the site
  • Date and time of visits
  • Referring website addresses
  • Cookies and similar tracking technologies

We use this information to operate, maintain, protect, and improve the Service, and to understand how it is used.

  • Legitimate interest – including retaining limited data after account closure to prevent abuse, enforce bans and blacklists, and protect the integrity of our community

  • Manage and synchronise membership with required third-party VTC platforms

We may use privacy-friendly analytics tools to understand how our Service is used.

If third-party analytics (such as Google Analytics) are used:

  • Analytics cookies are only activated after consent
  • IP anonymisation is enabled
  • Data transfers outside the EU are protected by Standard Contractual Clauses (SCCs)

8. Data Retention

When you close your account or leave GlobalCargo VTC, we will delete or anonymise your personal data within 90 days, except where retention is required for legitimate purposes.

Deleted after 90 days:

  • Active account data
  • Job and driving statistics
  • Public profile information

Retained beyond 90 days (restricted access):

  • Internal join and leave history
  • Records of disciplinary actions, HR cases, or blacklist decisions
  • Limited identifiers required to prevent ban evasion (such as e-mail address, Steam ID, TruckersMP ID, or internal unique identifiers)

This data is retained solely for:

  • Enforcing bans and blacklists
  • Preventing rejoining under a different account
  • Protecting the integrity and safety of the VTC

Access to this data is restricted to authorised staff and it is not made public.

We periodically review retained data and delete it when it is no longer necessary.

9. Data storage and international transfers

Personal data is primarily stored on servers located within the EU/EEA. Our website and related systems are hosted using EU-based infrastructure.

Access to personal data is restricted to authorized administrators who need it to operate, manage, and moderate the Service

For communication and internal administration, we use Google services such as Gmail, Google Drive, and Google Docs. Personal data may be processed and stored in these systems, for example when handling support requests, member communication, or documenting moderation actions.

Google may process data on servers located outside the EU/EEA. When this occurs, we rely on appropriate safeguards in accordance with GDPR, including the European Commission’s Standard Contractual Clauses, to ensure that personal data remains protected.

 

We aim to keep personal data within the EU/EEA whenever possible and only use third-party services where necessary to operate and manage the Service.

We may disclose personal data:

  • To prevent fraud or abuse

We never sell your personal data.

12. Children’s Privacy

GlobalCargo VTC is not intended for children under 15 years of age.

If an application is submitted by an individual under 15, the application is rejected. The application data is deleted as soon as reasonably possible.

For the purpose of preventing repeated or abusive applications, we may retain limited identifying information (such as an email address or platform ID) for a limited and proportionate period under our legitimate interest to prevent repeated abuse.

Where required by applicable law, users under 16 confirm that they have permission from a parent or legal guardian.

13. Security

We use appropriate technical and organisational measures to protect your data.

However, no system is 100% secure.

14. Third-Party Platforms (TruckersMP, Trucky & Discord)

 

Membership of GlobalCargo VTC requires a valid TruckersMP account.

When you apply to or are accepted into GlobalCargo VTC, certain personal data may be shared with third-party platforms used for VTC administration, including:

TruckersMP (truckersmp.com)
Trucky VTC Hub (hub.truckyapp.com)
Discord (when a member chooses to link their account)

The shared data may include:

Username
TruckersMP ID
Steam ID
Discord username and Discord ID (if linked)
Membership status (join / leave)

If you do not already have an account on Trucky, a basic account may be created automatically in order to manage VTC membership and synchronisation.

Members may optionally link their Discord account to enable role synchronisation and access to community features. When linked, our in-house developed bots use the Discord ID to assign and manage roles within the GlobalCargo VTC Discord server.

These platforms act as independent data controllers.

Stichting Global Gaming Community, operating under the name GlobalCargo VTC, does not control how these platforms process your personal data.

Data shared with these platforms is limited to what is necessary to manage VTC membership.

15. Changes to This Policy

We may update this Privacy Policy from time to time.

Material changes will be announced on the website or Discord.

The effective date will always be updated.
